Mission Trip Financial Policy Contract

  1. Your team leader will set the schedule of when each percentage is due. Although the 20% non-refundable deposit is required four months prior to trip in order to secure a place on the mission team, and 100% of total cost submitted 3 weeks prior to trip date in order to purchase plane tickets and secure lodging and other expenses.
  2. All funds received for mission trips shall be made payable to “Antioch Bible Church” with no notations in the MEMO line and will be considered tax deductible. Principle: When building a support team, you are raising money for “Antioch Bible Church” Short-term Missions for a specific ministry, not for personal use. The IRS does not recognize gifts to or for individuals. So, when you ask for support do not say, “I need $1,000 to go on this trip”, but instead say, “My team and I are raising funds for “Antioch Bible Church” to go to ___________ (country). My portion of the team expenses is $___________.
  3. Due to our tax-deductible status and issues related to IRS law and charitable contributions, all funds you raise will go into an account for you for the intended mission trip. If you have difficulty raising adequate funds you must contact the Team Leader to discuss your specific situation. You must show adequate effort in raising funds before assistance is given. If you raise more than the required trip cost, any excess funds will go into a mission trip scholarship fund to be used in the following manner:
    1. Excess funds will be used to assist other team members needing support, in order to meet total team budget expenses.
    2. If the team meets required budget expenses, the excess will either help out other short term trips or be gifted to the trips intended ministry.
    3. If all teams meet their required budget expenses then the funds will be rolled over into a short term mission scholarship fund.

If for any reason you are unable to fulfill your commitment to go on the mission trip, you will be responsible for all pre-paid expenses incurred on your behalf (i.e. airfare, lodging, training expense, etc.). It is your responsibility to communicate to your support team regarding your inability to participate in the mission and to assure them that the funds will be used for the intended mission trip.

By signing this contract I admit that I have read through the Mission Trip Financial Policy and agree to adhere to the guidelines.

Expectations of Team Members ATTENDANCE - Attendance is required at every training session. If it is absolutely necessary to miss a meeting due to an emergency, contact the team leader _______________ of time. It is ____________responsibility to contact the team leader before the next meeting to find out what you missed. DEADLINES / DATES - Adhere to deadlines regarding paperwork. PRAYER - Pray for the team, the ministry and the place we will be serving daily. PERSONAL TIME WITH GOD - In preparation for the mission trip and while on the field, each team member needs to ___________ ___________ time out of their daily schedule to be with God. This will help you see how He is working specifically in your life and also in the team. TEAM MEMBER COVENANT As a short term missionary, I understand that I am an ambassador of Jesus Christ. As I go, I not only represent Christ, but our church and country . I will strive to be above reproach in my attitudes and actions. Our particular culture is one where we take pride in our rights. The rights of individuals are constitutional; however as we see the demanding of individual rights increase, we see more of the moral fiber of our society decrease. Our Lord Jesus Christ laid down His rights to the heavens and all His glory to become a man and to serve, not to be served (Philippians 2:5-11; Mark 10:45). Consider laying down your rights on this mission trip, not to lay them down for better or worse, but to entrust them to the Lord or transfer the responsibility of them to a place of safekeeping. These rights may seem reasonable but could still cause dissension on a short term mission trip. Take time to search your heart and willingly surrender your rights to the Lord. ROMANS 12:1-2 Therefore, I urge you, brothers, in view of God’s mercy, to offer your bodies as living sacrifices, holy and pleasing to God - this is your spiritual act of worship. Do not conform any longer to the pattern of this world, but be transformed by the renewing of your mind. Then you will be able to test and approve what God’s will is - his good, pleasing and perfect will.
